SMS Verbal Consent Script

This page documents the verbal opt-in (consent) workflow that facilities use to enroll guests in SMS notifications sent by Vitro Dynamics Limited ("Vitro Dynamics", "we", "us") on the facility's behalf. Vitro Dynamics is the facility resource planning platform powering these messages for facilities such as recreation centers, sports courts, gyms, and golf ranges. Guests are enrolled only after they give clear, affirmative verbal consent in person. This is a standalone consent record; it is not bundled into our Terms of Service or Privacy Policy.

1. The Script Staff Read Aloud

At check-in, facility staff read the following script word for word. "[Facility Name]" is replaced with the name of the specific facility the guest is visiting:

"Would you like to receive SMS text notifications from [Facility Name], sent via Vitro Dynamics, about your waitlist status and booking updates? Message and data rates may apply, and message frequency varies. You can reply STOP at any time to opt out, or HELP for help. May I sign you up?"

2. Worked Example

For a guest checking in at a facility named "Golf Ranch Richardson," staff read:

"Would you like to receive SMS text notifications from Golf Ranch Richardson, sent via Vitro Dynamics, about your waitlist status and booking updates? Message and data rates may apply, and message frequency varies. You can reply STOP at any time to opt out, or HELP for help. May I sign you up?"

3. Simulated Conversation

A typical check-in exchange, showing how the guest is informed and how consent is collected before any message is sent:

  • Staff:"Would you like to receive SMS text notifications from Golf Ranch Richardson, sent via Vitro Dynamics, about your waitlist status and booking updates? Message and data rates may apply, and message frequency varies. You can reply STOP at any time to opt out, or HELP for help. May I sign you up?"
  • Guest:"Yes, please sign me up."
  • Staff:"You're all set. You'll get a confirmation text now, and we'll text you when your spot is ready."
  • Guest then receives the confirmation SMS below.

If the guest declines, staff do not enroll them and no SMS is sent.

4. Confirmation Message After Opt-In

Immediately after a guest verbally opts in, Vitro Dynamics sends a one-time confirmation text so the guest has a written record of the program terms and how to opt out:

"Vitro Dynamics: You're signed up for [Facility Name] SMS updates about your waitlist and bookings. Msg & data rates may apply. Msg frequency varies. Reply STOP to cancel, HELP for help."

5. Capturing and Logging Consent

Staff enroll a guest only after the guest verbally agrees. At the moment of consent, the following record is logged:

  • Guest name
  • Mobile phone number
  • Date and time of consent
  • Identifier of the staff member who collected consent
  • The facility on whose behalf consent was given

Only guests who provide this affirmative verbal consent receive SMS messages. Guests who decline are not enrolled and receive no SMS.

6. What Messages a Guest Receives

Enrolled guests receive only transactional, account- and delivery-related notifications tied to their visit:

  • Waitlist position and status updates
  • Booking and reservation confirmations
  • Session and check-in reminders

No marketing or promotional messages are sent under this consent. Message frequency varies based on the guest's activity, and message and data rates may apply.

7. Opting Out and Getting Help

Guests can opt out at any time by replying STOP to any message, which stops all further messages immediately. Replying HELP returns help information.
